Welcome to PeerSubmit, a product of Hallucyn Labs LLP (“we”, “our”, “us”). These Terms of Service (“Terms”) govern your use of our platform, products, and services (collectively, the “Services”). By accessing or using PeerSubmit, you agree to these Terms. If you do not agree, please do not use our Services.

1. Eligibility

  • You must be at least 18 years old to use PeerSubmit.
  • By using our Services, you represent that you have the legal capacity to enter into these Terms.

2. Accounts

  • You are responsible for maintaining the confidentiality of your login credentials.
  • You agree to provide accurate, up-to-date information during registration.
  • You are fully responsible for all activity under your account.

3. Event Organizer Terms

  • Eligibility: You must be legally permitted to host or manage the type of event you're offering.
  • Event Accuracy: You’re responsible for ensuring your event details are clear, accurate, and up-to-date, including eligibility, deadlines, fees, judging criteria, and submission requirements.
  • Fees and Payments: We may charge platform and/or processing fees. These will be disclosed during event setup. You are responsible for any third-party payment processor fees.
  • Refund Policy: If you offer refunds, you must clearly define your policy. If your event is canceled, you are responsible for refunding participants.
  • Intellectual Property: You retain ownership of your event content but grant PeerSubmit.com a non-exclusive, royalty-free license to display, promote, and host your event.
  • Removal: We reserve the right to remove events that violate these Terms, applicable laws, or that generate serious complaints.

4. Buyers and Non-Organizers Terms

  • Submission Terms: By submitting content to any event, you agree to follow the event’s specific guidelines. Submission does not guarantee selection, feedback, or prizes.
  • Fees: You agree to pay all applicable submission or registration fees. All sales are final unless otherwise stated in the event’s refund policy.
  • Conduct: You agree not to submit illegal, plagiarized, or inappropriate content. Violation may result in removal or account suspension.
  • License: You grant PeerSubmit.com and the relevant event organizer a limited, non-exclusive right to use your submission for judging, administration, and promotional purposes related to the event.

5. General Terms

  • Account Responsibility: You are responsible for maintaining the confidentiality of your account credentials and for all activities under your account.
  • Termination: We may suspend or terminate your access for violation of these Terms, misuse of the platform, or for any reason at our sole discretion.
  • Third-Party Services: The platform may integrate with third-party tools (e.g., Stripe, PayPal). Your use of those tools is subject to their terms and privacy policies.

6. Intellectual Property Rights

  • All content on PeerSubmit.com—including design, code, trademarks, text, graphics, and logos—is owned by us or licensed to us and protected by intellectual property laws.
  • You retain ownership of your submitted content but grant PeerSubmit.com and the event organizer the rights outlined above. You must not submit content you don’t own or have permission to use.

7. Use of Services

  • PeerSubmit is designed for academic conferences, paper submissions, peer reviews, and event management.
  • You may not misuse the Services, including attempting to hack, disrupt, or copy our platform.
  • Unauthorized resale, redistribution, or reverse-engineering of our Services is strictly prohibited.

8. Content Ownership

  • Your Content: You retain ownership of all papers, abstracts, and data you upload.
  • License: By submitting content, you grant PeerSubmit a limited license to host, process, and display it for the purpose of providing Services.
  • Third-Party Content: You are responsible for ensuring that you have the rights to upload any content.

9. Payments & Billing

  • Certain features of PeerSubmit require a paid subscription.
  • Prices are listed on our Pricing Page and may change with prior notice.
  • Subscriptions auto-renew unless canceled before the billing cycle ends.

9.1 Cancellations

  • You may cancel your subscription at any time through your account settings.
  • Event organizers are responsible for setting their own cancellation policies for submissions, registrations, or tickets they collect through PeerSubmit. These must be clearly displayed on their event page.

9.2 Refunds

  • PeerSubmit provides a 7-day refund window from the original payment date for subscription plans. After 7 days, all payments are non-refundable, except where required by law.
  • Refunds, where applicable, will be processed using the original payment method whenever possible.
  • Event organizers are responsible for setting their own refund policies for submissions, registrations, or tickets they collect through PeerSubmit. These must be clearly displayed on their event page.

10. Data & Privacy

  • We handle your data in accordance with our Privacy Policy.
  • You agree that PeerSubmit may process your data to improve Services, provide support, and comply with legal obligations.

11. AI-Powered Features

  • PeerSubmit includes AI-powered tools (e.g., reviewer assignment, paper quality rating).
  • These features are intended to assist but not replace human judgment.
  • You remain responsible for final decisions and outcomes.

12. Service Availability

  • We aim for high uptime, but we do not guarantee uninterrupted access.
  • PeerSubmit may suspend or limit access for maintenance, upgrades, or technical reasons.

13. Termination

  • You may terminate your account at any time.
  • We may suspend or terminate accounts that violate these Terms or misuse Services.

14. Disclaimer of Warranties

  • Services are provided “as is” and “as available.”
  • We disclaim all warranties, express or implied, including fitness for a particular purpose and non-infringement.

15. Limitation of Liability

  • To the maximum extent permitted by law, Hallucyn Labs LLP is not liable for indirect, incidental, or consequential damages.
  • Our total liability shall not exceed the amount you paid us in the last 12 months.

16. Indemnification

  • You agree to indemnify and hold Hallucyn Labs LLP (owners of PeerSubmit) harmless against claims, damages, or liabilities arising from your misuse of Services or violation of these Terms.

17. Governing Law

  • These Terms shall be governed by and construed in accordance with the laws of India, without regard to conflict of law principles.

18. Changes to Terms

  • We may update these Terms from time to time. Continued use of Services after updates means you accept the revised Terms.
